Scaling success: how Infinite Campus delivers large-scale implementations

Learn how Infinite Campus makes large‑scale and statewide implementations feel seamless.

Q&A with Stephanie Mrachek, Head of Customer Enablement

At Infinite Campus, our goal is to make student information system (SIS) implementations as smooth and seamless as possible. Whether you serve 150 students in a small town or 500,000 via a statewide solution, we want customers to complete the transition feeling confident, supported, and satisfied.

Since the beginning of 2023, our implementation teams – comprised of 100+ smart and passionate individuals – have converted more than 1,000 districts to our modern SIS. We’re built to scale and deliver consistent, high-quality results while staying true to our mission of Transforming K12 Education®.

Below, Mrachek shares how her teams adjust their work when implementing a statewide project.

What is the plan for implementing a statewide or large-scale (hundreds of districts) SIS solution? How do you handle individual district requirements and their unique needs?

Successful statewide or large-scale implementations begin by assembling the right team at both the state and district level, as well as within Infinite Campus. Key roles include Executive Sponsors, Project Managers, Training Coordinators, Data Contacts, and Subject Matter Experts (SMEs). These individuals ensure both statewide goals and district-specific needs are addressed. To support this collaboration, Infinite Campus uses a phased approach: Discovery & Planning, Configuration & Validation, and Customization Tools. This structured model ensures statewide consistency while respecting district individuality.

What goes into preparing your teams to take on a project of such scale? Do staff roles or duties change when they’re assigned a statewide project?

Preparing our teams for a statewide implementation is both a strategic and operational priority. These large-scale, high-impact projects require coordination and expertise beyond a typical district rollout. We prepare and organize our approach around four key components:

  1. Strategic Staff and Role Alignment

  2. Internal Training and Knowledge Sharing

  3. Scalable Processes and Tools

  4. Flexibility and Support

In short, planning for a statewide implementation means elevating our game – strategically, technically, and collaboratively. It’s a challenge we embrace because of the lasting impact on students, educators, and communities.

Regularly implementing states or large regions/groups with hundreds of districts is a massive undertaking. What enables Infinite Campus to consistently deliver?

Infinite Campus scales consistently because of our:

  • Unified Platform: Infinite Campus operates a single, robust system with all development handled in-house.

  • Experienced Team: 600+ employee-owners and 3,000+ district implementations bring deep expertise.

  • Structured Methodology: A proven five-step process ensures consistent, high-quality rollouts.

  • Customer Support: Customers can access Campus Community, Campus Passport, and Infinite Classroom™ for ongoing, role-based training.

This combination of stability, expertise, and innovation enables Infinite Campus to successfully produce large-scale implementations.

How do the teams manage overlapping go-live dates or conflicting responsibilities between statewide and single-district implementations?

Managing simultaneous implementations requires precision, coordination, and transparency. Infinite Campus uses centralized tools and collaborative practices to stay on track:

  • Centralized Project Management Tool: Real-time visibility into schedules, milestones, and task assignments keeps all team members aware of project status.

  • Ongoing Internal Stakeholder Collaboration: Weekly meetings align Implementation, Product Development, Managed Services, Support, and Client Relations teams.

  • Role-Based Task Ownership: Clear role responsibilities prevent project overlap and confusion.

  • Flexible Scheduling Framework: Standardized Implementation Plan Schedules adapt to shifting timelines and resources.

  • Customer-Centric Prioritization: Each customer’s unique needs remain a top priority, ensuring no one feels like ‘just another project.’

This approach ensures consistent delivery, even during complex, overlapping implementations.

As more state departments of education choose statewide systems, how is Infinite Campus evolving to meet demand?

At Infinite Campus, we evolve by working smarter – not just growing bigger. Annual workflow reviews help us eliminate inefficiencies, refine internal processes, and improve collaboration. At the same time, our team is developing and investing in instructive training platforms like Campus Passport and Infinite Classroom™, which deliver flexible, role-based training.

We also rely on a structured implementation framework and strategic partner network to manage complex projects efficiently. Even as we grow, we remain committed to personalized service. Every customer receives a dedicated Project Team and Client Relationship Manager to ensure long-term success.

Lastly, we have continuously evolved and improved over the course of 10 statewide implementations…as the saying goes, there’s no teacher like experience!
